Providence Secretary I - Day Shift in Spokane, Washington

Providence is calling a Secretary I (Nursing Administration, Day-Shift, 40 hours per week) to Providence Sacred Heart Medical Center in Spokane, Washington. In this position you will:

  • Customer Service/Relationships: Maintain and promotes positive, open and honest interpersonal relationships with all customers (executives and other management, physicians, employees, visitors, patients, etc). Provides high quality customer service to all customers by focusing on understanding customers’ needs and following through. Develops and maintains relationships with prominent Spokane businesses to coordinate communication between our executives and theirs. Takes initiative to resolve conflict and works cooperatively with those in authority positions. Demonstrates respect for the capabilities, cultures, and/or personalities of co-workers and publics within the mission, vision, and values of Providence

  • Communication: Demonstrate effective, open and honest written and verbal communication skills and works cooperatively and collaboratively with all levels of staff for problem solving. Anticipates the information needs of others and comes prepared to every discussion. Works well both independently and in a team environment to complete work and is able to notify appropriate parties in advance if work cannot be completed in a timely manner

  • Flexibility: Demonstrate flexibility by re-establishing priorities to compensate for unanticipated changes in work volume and adequately meeting overall department needs. Goes above and beyond stated responsibilities to help team accomplish tasks and goals, whenever possible

  • Confidentiality: Maintain confidential patient and administrative information on a daily basis. Maintains confidential and organized paper and/or electronic filing systems and utilizes company’s cloud-based and shared folders as appropriate

  • Independence and Accountability: Possess an ability to self-manage and work independently with minimal supervision while following established policies, procedures, and guidelines. Demonstrates good stewardship of resources by treating property of the company, customers, and co-workers with care and respect and promoting an efficient, cost effective work environment. Expresses self-confidence and handles failure constructively while striving to continually improve processes and outcomes

  • Professionalism: Conduct themselves in a professional manner ation similar to department of hire or completion of the specialty residency located at that facility

  • Scheduling and Meeting Support: Possesses ownership of one or more executives’ calendar(s) which includes performing complex scheduling of meetings and events, room reservations, ordering catering, and setting-up/tearing-down meetings. Provides technology support during meetings including set-up of videoconferencing and presentation equipment. Develops invitations, agendas and presentations prior to meetings, takes minutes during meetings, and provides follow up for action items after meetings. Arranges travel for executives including air, car, hotel, and dining reservations within company policy

Qualifications:

Required qualifications for this position includes:

  • Must have excellent interpersonal and communication skills

  • Must have expertise the Microsoft Office Suite of products (Outlook, Excel, Word, PowerPoint, Teams, etc)

  • Must have an ability and willingness to learn new technologies and develop skill set as the position

  • 3 years of Office experience in a Secretarial/Administrative Assistant, or similar position
