Providence Health & Services Senior Administrative Assistant in Spokane, Washington
Providence St. Joseph Health is calling a part time Administrative Assistant to work in any of our office locations in OR, WA, or MT.
This position is also eligible to work from home 2 days a week.
This position is responsible for providing ongoing administrative, planning, and executive support of a highly complex and confidential nature for the Medical Director of Ethics serving within the WA MT Region. The position assists in meeting specialized goals, and contributes to the achievement of the organization’s vision, mission and strategic objectives by providing special project and executive support to a position of collaborative leadership within the WA MT Region. The activities of this position include supporting the ethicist by managing calendars, correspondence, meeting and agenda preparation and other logistical matters. It is anticipated that the person holding this position will network extensively with many of the region’s and organization’s leadership and health system stakeholders and will represent their supervisor and the health system in a positive and professional manner.
In this position you will:
Independently or in consultation with supervisor, develop plans and perform complex administrative office duties and project facilitation/coordination needed to carry out assigned projects and activities; establishes methods and schedules to implement and maintain activities for the ethicist. Exercises independent judgment to reflect and match executive’s leadership style.
Facilitate, and perform administrative functions in support of ethics consultation and meetings of groups as assigned. Support activities include timely collection and preparation of draft agendas; prioritizing items in consultation with ethicist to finalize agenda; dissemination of meeting materials; coordination of meeting records, evaluations and follow-up reports.
Oversee the coordination of the office of the ethicist they support. Assure a logical flow for scheduling of activities, including preparation and planning time. Either work with other assistants or work independently to schedules meetings, travel and outside commitments. Assure that the executive has the materials needed for meeting obligations in advance of appointments through maintenance of confidential department files.
Coordinates writing, database management, editing and communications tasks. This includes initiating and drafting correspondence; recording minutes of meetings and telephone conference calls; compiling information and preparing summary reports; overseeing and prioritizing incoming or outgoing mail and messages, and preparing information for presentation or publication. Exercise independent judgment and decision-making in handling incoming and outbound information and material.
Support the ethicist through positive communications and relations with internal and external customers in an environment that is open and inviting. Maintain relationships with, and responds to contacts from, internal and external customers (such as executives, professional association staff, consultants, core leaders and caregivers) and others related to the health care ministry with the purpose of exchanging information, scheduling meetings and communicating confidential and non-confidential matters involving the ethicist and the work of the department. This support includes significant interaction with core leaders and hospital executives actively involved in policy and projects supported by ethics. Position provides appropriate referrals, or informs the ethicist when a situation warrants direct attention.
Collaborate with a wide variety of offices and individuals to assist in all organizational integration efforts to fulfill strategic objectives, best practices and outcomes for the integrated health system.
Required qualifications for this position include:
High School diploma or GED equivalent.
Ability to communicate in English effectively both verbally and in writing
One year of experience as an administrative assistant, preferably in a healthcare setting.
Preferred qualifications for this position include:
Preference for graduation from a technical program in secretarial or office support services or the equivalent
Experience with a variety of software applications, including Microsoft Office (Outlook, Lync, Word, Excel, Powerpoint) and Adobe Acrobat.
Willingness to learn basic navigation of essential functions of an Electronic Medical Record (EPIC), telehealth facilitation, and other app-based tools.
